Retford Squash Club Rules / Terms & Conditions

The Club shall be called "The Retford Squash Club" and its management shall be in accordance with the Memorandum and Articles of Association of Retford Squash Club Limited (hereinafter called "The Club").

OFFICERS OF THE CLUB

A general meeting of the Club shall be convened at least once in every year before the 31st October at which the officers of the Club and the Committee shall be elected by the members.

Any person who is a member of the Club shall be eligible for election as an officer of the Club and officers so elected shall hold office for one year or until the next annual general meeting at which they shall be eligible for re-election. The officers so elected shall comprise the chairman, honorary treasurer, honorary secretary and such others as the general meeting shall by majority consider appropriate. In the event of any officer so elected resigning prior to the expiration of his or her term of office then the committee (as hereinafter defined) may at a committee meeting duly convened elect a person to replace such officer for the unexpired period of the term of office.

MANAGEMENT COMMITTEE

The day to day management of the Club shall be vested in a management committee (hereinafter called "The Committee") consisting of not more than five members and in addition the officers of the Club referred to above as ex-officio members.

OBJECTIVES OF THE CLUB

The objects of the Club are to provide facilities for the members to play squash and to provide the opportunity for social intercourse among the members for games, recreation, refreshments and generally to give all the benefits and advantages usually obtained at such clubs.

OPENING HOURS

The Club shall normally be open for the use of members and their guests on each day of the week between the hours of 9.00am and 10.00pm or such other hours as the committee shall determine and publish on the notice board of the Club premises. No members shall be admitted except during the hours specified in this clause.

MEMBERSHIP

A candidate for membership of the Club must have their membership approved by the club chairman or the committee. Such election shall be at the discretion of the committee who shall be at liberty to:

  1. refuse membership to a candidate
  2. place him on a waiting list
  3. decide in which subscription category he shall be.

On approval to become a member. All fees shall be due and paid promptly and preferably by standing order either quarterly or annually and membership of the Club shall be renewed by renewal of the necessary standing order at the end of each year. Any member failing to renew such standing order shall be deemed to have ceased to be a member of the Club.

Children aged thirteen years and under, of a full playing member may play in accordance with junior membership without payment of a subscription fee. In the event of the Club being liable to registration to value added tax then such tax shall be added to annual subscriptions at the rate appropriate for registration.

Junior, restricted and student members may not play between 12.00 noon and 2.30pm and after 5.00pm on weekdays unless the week day is a statutory bank holiday provided that junior members placed in adult leagues may play league matches after 5.00pm.

No person shall be admitted to membership or be admitted as a candidate for membership or to any of the privileges of membership without an interval of at least two days between their nomination application for membership and their admission.

REGISTER OF MEMBERS

A register shall be kept on the premises of the name and address of all members and a record of the latest payment of their subscriptions. All members shall have a membership card stating their name and category of membership which shall be retained in a holder provided on the Club premises. Membership cards shall not be removed from the Club premises. A person shall only be deemed to be a member when his or her current membership card is available in the holder and the appropriate standing order payment has been made.

MAXIMUM MEMBERSHIP

The maximum membership of the Club shall be left to the discretion of the committee.

VISITORS

Visitors shall not be allowed admission to the Club premises unless they are introduced by a member. Any member introducing a visitor is responsible for complying with the following rules or such variations thereto as may be from time to time introduced by a resolution of the committee.

  1. A member may bring a visitor to play.
  2. No one visitor may be brought to play more than six times in any one year and a member may not introduce more than one playing visitor per week.
  3. A visitor will not be allowed to play at any period as the committee may by resolution determine.
  4. In the event of any member or visitor failing to comply with the above both the visitor and the member shall be required to vacate the court immediately.

HONORARY AND TEMPORARY MEMBERS

Honorary and temporary members may be elected at the discretion of the committee.

CESSATION OF MEMBERSHIP

The Club year shall commence on 1st September and any member whose standing order has not been renewed by that date shall cease from that date to be a member of the Club and his/her name shall be removed from the list of members provided that the committee may at their discretion reinstate such person as a member of the Club and restore his/her name to the list of members upon such terms as they may think fit. Any member desirous of retiring from the Club shall give notice in writing of his intention to the honorary secretary on or before 31st August in that year.

USE OF THE COURTS

The following bye laws as to the use of the courts shall be observed by all members and enforced by the committee:

  1. Play is by way of use of pre-purchased light cards which give 20 minutes of light per card.
  2. Courts cannot be pre booked unless for matches or any other purpose at the discretion of the committee.
  3. Courts are allocated on the following basis
    1. When both players have entered the Club the next available court to them is to be used.
    2. If further pairs of players are already in the Club then the latest pair of players to enter are in a queue behind the pair(s) already waiting and so on till the next available court is available.
  4. A pair of members who have used a court for 40 minutes shall at the end of such period forthwith vacate the court if all other courts are in use and other members are waiting to play.
  5. Members and visitors using the courts shall use NON MARKING and CLEAN shoes ONLY.
  6. In the playing of league games members may claim a match from an opponent who fails to arrive within 15 minutes of the agreed time to play.
  7. Three players or more may use a single court for three balls and training. A maximum of one light card per player is permitted to be used on a single court. If at busy times, this must be limited to a maximum of three light cards.
  8. Racketball is permitted as a game to be played on court.

GOGGLES

It is mandatory that all players under the age of 19 years old MUST wear safety goggles designed and approved for the playing of squash.

RIGHTS OF COMMITTEE

The committee shall have sole right of interpretation of these rules and shall have the power to rescind, alter or add to the bye laws relating to the use of the courts.

PROCEDURE FOR GENERAL MEETINGS

Not less than 28 days notice of a general meeting shall be given and an agenda shall be displayed on the Club notice board not less than seven days before any general meeting is held.

Written notice of all resolutions, nominations or items of business together with the names of proposers and seconders must be forwarded to the secretary at least 14 days before a general meeting. Proxy votes shall be permitted at general meetings provided they are in writing and lodged with the secretary prior to the commencement of the meeting. A quorum at a general meeting shall consist of 15 members of the Club.

EXTRAORDINARY MEETINGS

The committee may at any time and shall on the requisition in writing of six members of the Club call an extraordinary meeting of the Club. If the committee on receipt of such a requisition shall neglect or decline to call such a meeting within seven days of the receipt by them of such requisition, the members signing the requisition shall have the power to call such a meeting and at such meeting the quorum should consist of 15 members.

CONDUCT OF MEMBERS

The committee shall have the power on a majority vote of three quarters of the members of the committee attending the meeting to suspend or remove from membership of the Club any member whose conduct is in the view of the committee prejudicial to the interests and objectives of the Club or its members. This includes conduct in or outside of the Club and on all social media platforms.

SUB COMMITTEES

Any sub committee appointed by the committee shall be directly responsible to the committee who shall have the overriding power to veto any decision made by such sub committee.
